Privacy Policy

Look, we take your privacy seriously. Here's the straight talk on how we handle your info.

Heads up: This policy applies to all members, visitors, and anyone who interacts with Glaivorn Shroud Fitness. We're based in Canada, so we follow PIPEDA and all that jazz.

Alright, nobody likes reading these things - we get it. But if you're training with us, you're trusting us with your info, and we don't take that lightly. We've tried to keep this straightforward and skip the legal mumbo-jumbo where we can.

When you sign up or train with us, we're gonna need some basics to keep things running smooth. Here's what we typically collect:

  • Personal Details: Name, email, phone number, date of birth, address - the usual stuff for membership.
  • Health Information: Medical history, injuries, fitness goals, dietary restrictions. We need this to keep you safe and design programs that actually work for you.
  • Payment Info: Credit card details, billing address - though we don't store full card numbers on our end (more on that later).
  • Attendance Records: When you show up, what classes you're hitting, PT session notes.
  • Progress Tracking: Measurements, performance metrics, progress photos if you choose to share them.
  • Communication History: Emails, texts, feedback forms - basically any time you reach out to us.

We only ask for what we actually need. We're not gonna bug you for info that doesn't help us help you train better.

Your data isn't just sitting in some dusty file cabinet (well, it's digital, but you get the point). Here's how we actually use it:

  • Running Your Membership: Processing payments, managing your account, tracking your check-ins.
  • Training & Safety: Creating personalized workout plans, monitoring progress, making sure you're not pushing beyond what's safe given your health history.
  • Communication: Sending class schedules, membership updates, answering your questions. We might also shoot you promotions or event invites, but you can opt out anytime.
  • Improving Our Services: Figuring out what classes are popular, what times work best, where we can level up our offerings.
  • Legal Stuff: Sometimes we gotta keep records for insurance, liability, or regulatory requirements. It's boring but necessary.

We're not selling your info to anyone. Period. We're a gym, not a data broker.

Security's kinda like training - you can't half-ass it and expect results. Here's what we've got in place:

  • Encryption: All data transmitted through our website uses SSL/TLS encryption. Fancy tech that keeps things locked down.
  • Secure Servers: Our data's stored on secure servers with firewalls, regular security updates, the works.
  • Limited Access: Only staff who actually need your info can access it. Front desk can see your membership, trainers can see training notes, but nobody's browsing around for kicks.
  • Regular Backups: We backup everything regularly so if something goes sideways, we're not losing your data.
  • Physical Security: Paper files (yeah, we still have some) are locked up tight.

No system's perfect, but we're constantly updating our security measures and staying on top of potential threats. If there's ever a breach, we'll let you know ASAP and tell you exactly what happened.

It's your data, and you've got rights. Here's what you can do:

  • Access Your Info: Wanna see what we've got on file? Just ask. We'll send you a copy within a reasonable timeframe.
  • Correct Mistakes: If something's wrong or outdated, let us know and we'll fix it.
  • Delete Your Data: Want us to wipe your info? We'll do it, though we might need to keep some stuff for legal or accounting reasons.
  • Opt Out of Marketing: Don't wanna hear about our promotions? Cool, just unsubscribe from emails or tell us to stop texting.
  • Withdraw Consent: If you've given us permission to use your data for something specific, you can take that back anytime.
  • Data Portability: Need your info in a format you can use elsewhere? We'll export it for you.

To exercise any of these rights, shoot us an email at info@glaivornshroud.info or swing by the front desk. We'll sort it out.

Yeah, we use cookies. Not the protein kind - the digital tracking ones. Here's the deal:

  • Essential Cookies: These keep the website functioning. Can't really turn these off without breaking things.
  • Analytics Cookies: Help us understand how people use our site - what pages they visit, how long they stick around, etc. We use this to make the site better.
  • Preference Cookies: Remember your settings and login info so you don't have to re-enter everything constantly.

Most browsers let you control cookies through their settings. Just know that blocking certain cookies might make parts of the site wonky.

We also use Google Analytics to track site usage. Google's got their own privacy policy if you wanna dive into that rabbit hole.

We work with a few outside companies to keep things running. They might get access to some of your data, but only what they need to do their job:

  • Payment Processors: We use secure payment gateways to handle transactions. They see your payment info, but it goes straight to them encrypted - we never see your full card details.
  • Email Services: Our email provider helps us send class schedules, newsletters, and updates. They've got their own security measures in place.
  • Scheduling Software: Helps us manage class bookings and PT sessions. They store basic member info and attendance records.
  • Cloud Storage: Member data's backed up to secure cloud servers with enterprise-grade security.

All our third-party partners are contractually required to protect your data and only use it for the specific services they provide. We don't just hand your info to anyone.

Let's talk money for a sec. When you pay for membership or services:

  • We use PCI-compliant payment processors (that's the gold standard for payment security).
  • Your full credit card number never touches our servers. We only see the last 4 digits for reference.
  • Payment data's encrypted both in transit and at rest.
  • We keep transaction records for accounting and tax purposes, but these are stored securely.
  • If you set up auto-billing, your payment method's securely tokenized by our processor.

Basically, we've set things up so your financial info is locked down tight. We take fraud prevention seriously and monitor for any suspicious activity.

Privacy laws change, our services evolve, and sometimes we need to update this policy. When we do:

  • We'll post the new version here with an updated date at the top.
  • For major changes, we'll email you directly or post notices around the gym.
  • You'll have time to review changes before they take effect.
  • If you're not cool with the changes, you can always close your account (though we'd hate to see you go).

We recommend checking back here every once in a while, especially if you're concerned about privacy. The last update date's always shown at the top.

Got questions about this policy or how we handle your data? Don't just wonder - reach out. We're here to help.
